Welcome!

Congratulations on your new student employment position (Federal Work-Study or Graduate Assistantship) at National Louis University!  We are excited you have chosen to share our mission as we provide quality higher education through teaching, scholarship, community engagement and service excellence.  Please follow this page from beginning to end, and be sure to note the items that must be completed prior to or on your first day of employment.

Now that you have been hired as a student employee, there are few steps you must complete before beginning your position. Please follow this page from beginning to end, and be sure to note the items that must be completed prior to or on your first day of work.

Returning student employees do not need to complete the required forms below each year.  If returning to your last position, please contact your last supervisor and they will initiate the rehire paperwork. If not returning to your last position, please apply for a new job at using Handshake (read more) and complete the current year's Free Application for Federal Student Aid (FAFSA).  An International student applying for a graduate assistantship position is not required to complete the FAFSA.  International students are not eligible to apply for Federal Work-Study positions but may apply for a Graduate Assistantship position.

Although international students are not required to complete the Free Application for Federal Student Aid (FAFSA) they must have either a valid Social Security Number for required IRS reporting or a Taxpayer Identification Number (TIN).  Please refer to IRS Publication 1915 (PDF) for a more detailed explanation of ITINs.

You should contact Maria Lammy, the Principal Designated School Official (PDSO) at mlammy1@nl.edu or 312.261.3888 for assistance with obtaining required documents needed to obtain a SSN or ITIN.

Your first day

If your supervisor did not discuss the dress code during your interview, dress conservatively until you are able to confirm the dress code with your supervisor.  We suggest a nice shirt (with no writing, logos, or other such branding), nice slacks or skirt, and nice comfortable shoes (avoid sneakers and flip-flop sandals).  Be sure that your hair is nicely styled.

Be prepared to submit the forms below on or before your first day of employment. Submitting the forms via fax or email in advance of your first day will speed up the process.

Graduate Assistants (GAs) - these forms will be emailed to you from FWS@nl.edu.

Your first week

Your supervisor is responsible for all on-the-job training, orientation and supervision of student employees. The orientation should include, at minimum, the following:

  • Departmental rules and regulations and policies
  • Expected dress attire and code of conduct
  • Procedure for requesting a schedule change
  • Professionalism and Office Etiquette in the work place
  • Proper way to address any issues or concerns
  • Requesting time off
  • Scheduled hours and procedures when a student employee is not able to work
  • Tasks and responsibilities, such as, how to answer phone calls, how to place a call on hold, how to transfer a call, how to greet people upon arrival, how to log onto the computer, how to check voicemails and other procedures or tasks they will perform
